Location:
Michigan. Staff work flexible hours and are fully remote.
Position Summary:
The Program Assistant coordinates the scholarship application intake process, counsels applicants, sponsors, and recipients regarding the services offered through Michigan AEYC and provides programmatic assistance for the implementation of programs including membership, professional development, and T.E.A.C.H. Early Childhood® Michigan.
Qualifications:
• Associate degree in early childhood education, Bachelor’s degree preferred.
• Two years’ experience in an early childhood education and/or care setting and two years of related administrative experience.
• Self-motivation and an ability to work toward objectives with minimal supervision.
• Proficiency with computer technology, database experience preferred.
• Strong written and verbal communication skills including reports and business correspondence.
• Excellent customer service and interpersonal skills.
• Must be detail oriented.
• Ability to work with diverse individuals and organizations.
• Prior to employment, the candidate must pass an employment test and drug screening test and undergo a reference and security check.
Responsibilities:
The Program Assistant will work with the Program Manager to complete the following essential functions including but not limited to:
• Assist scholarship applicants with the intake process.
• Make an initial review of scholarship applications to ensure all required documentation is collected. Follow up with incomplete document collection.
• Enter data relating to all incoming applications, W-9 forms, agency profiles, and survey results into database.
• Utilize application portal to organize application workflow.
• Communicate application status to applicants.
• Educate potential scholarship recipients and sponsors on scholarship components and eligibility.
• Utilize State of Michigan systems data to collect eligibility criteria.
• Answer scholarship inquiries via phone, e-mail, and online chat service.

• Provide administrative support to Director of Professional Programs, Program Manager- T.E.A.C.H, Program Specialists, and other organization staff as needed.
• Attend outreach opportunities as a staff representative to disseminate program information to potential participants, sponsors, and partners.
• Attend Michigan AEYC programs, events, and meetings as requested.
• Provide general office support: assist with routine correspondence, maintain databases, respond to requests for assistance and information, sort and distribute mail, filing.
• Maintain good working relationships with scholarship recipients, educational institutions, sponsors, and program partners.
• Maintain confidentiality of information on T.E.A.C.H. Early Childhood Michigan® scholarship participants, staff, and board members.
• Adhere to fiscal and programmatic policies and procedures.
• Perform other work-related duties as assigned.
