Job Description: Data Verification Specialist
Supervised by: Director of Operations – MI
Work Location: Fitchburg, WI (Hybrid or Remote)
FLSA Classification: Non-Exempt
Essential Functions:
The Data Verification Specialist (DVS) delivers accurate and timely data entry while processing individual membership applications using an online database. In support of this process, the DVS provides quality customer service, technical assistance, resource referrals, and professional development guidance to Early Childhood Care and Afterschool Educators. This position requires speed, accuracy, attention to detail, and high-level communication skills to ensure both applicant and team success.
Primary Responsibilities include:
Membership application processing:
– Prepare and match application materials to user profiles using the online database.
– Uphold data privacy while handling and reviewing confidential information.
– Follow established policies and procedures to determine best practices for each phase of the application process.
– Enter data elements from paper/electronic documents into an online database quickly, without duplication or errors.
– Adhere to application processing timeline and individual productivity expectations.
Customer Service:
– Provide clear, effective and high-quality verbal and written support to applicants in person, via email, and/or by phone. Document all incoming requests for support using the Zendesk customer service platform.
Teamwork and Collaboration:
– Collaborate throughout the membership application process to achieve and exceed the team’s established goals.
– Professionally represent The Registry, Inc while working with state partner agencies, key players, and clients.
– Attend conferences, meetings, events, and provide in-person/virtual guidance.
– Complete additional tasks and responsibilities as needed.
Requirements
Education and Experience:
– Minimum of a high school diploma or equivalent; associate degree preferred.
– Previous experience in administrative, customer service, or office settings; preferred candidates will have at least 2 years.
Skills and Ability:
– Fast and Accurate Data Entry: Proficient in data entry with a minimum typing speed of 45 words per minute.
– Computer Competence: Knowledgeable in computer systems and various software, including – – -Microsoft Office (Word, Excel, PowerPoint, and Outlook). Familiar with databases, office equipment, scanners, printers, and Bluetooth devices.
– Customer Service: Committed to providing professional phone support, promptly responding to client requests, and efficiently monitoring and routing calls as needed.
– Technical Troubleshooting: Skilled in investigating and resolving client support requests, ensuring timely and effective solutions.
– Strong Organizational Skills: Highly skilled in managing workloads to ensure equity among the team while providing valuable input on system needs and modifications.
– Strong Written and Verbal Communication: Excellent ability to share information clearly and effectively.
– Independent Work Ethic: Capable of managing and completing multiple assignments and priorities with minimal supervision, demonstrating strong organizational skills.
– Effective Interpersonal Skills: Able to establish and maintain productive working relationships with personnel at all levels of the organization.
– Preferred Knowledge of Early Learning and School-Age Fields: Familiarity with the principles and practices relevant to early childhood education and school-age programming.
– Preferred Bilingual Proficiency: Fluent in Spanish, enabling effective communication with diverse populations.
Working Conditions:
Hybrid/Remote:
– High speed internet connection: Must be able to maintain an internet connection with a minimum of 50 mbps download speed and 10 mbps upload speed. This requirement is higher (100 mbps download) for households with shared usage of internet connection during working hours.
– Environment: Must provide dedicated office space including a desk in a home that is private and without distractions to be used during scheduled working hours.
– Equipment: The following office equipment is provided by employer i.e. laptop, two (2) computer monitors, keyboard, mouse, headset, computer chair. Additional equipment may be assigned based on position.
– Transportation: Must secure reliable transportation to and from the Fitchburg office as required for training, internal meetings, etc. Expenses related to daily commutes will not be reimbursed.
Physical Demands:
– Prolonged periods of sitting and/or standing at a desk while working on a computer using multiple screens.
– Manual dexterity and coordination is required over 50% of the work period while operating equipment such as a computer keyboard, mouse, scanner, etc.
– Able to regularly lift 10 lbs. and occasionally lift 25 lbs.
